Sapa Pana Travel’s Cookie and Privacy Policy

Sapa Pana Travel attaches great importance to the protection of your personal data. In this privacy policy, we aim to provide clear and transparent information about how we handle personal data. We do everything we can to safeguard your privacy and therefore handle personal data with care. Sapa Pana Travel complies in all cases with the applicable laws and regulations, including the General Data Protection Regulation. This means that, in any event, we will:

  • We process your personal data in accordance with the purpose for which it was provided; these purposes and the types of personal data are set out in this privacy policy.
  • The processing of your personal data is limited to only those data that are strictly necessary for the purposes for which they are processed.
  • We will ask for your explicit consent if we need it to process your personal data.
  • We have taken appropriate technical and/or organisational measures to ensure the security of your personal data.
  • We will not pass on any personal data to third parties, unless this is necessary to fulfil the purposes for which it was provided.
  • We are aware of your rights regarding your personal data, and we wish to draw your attention to these and respect them.

Legal basis for the processing of personal data

Sapa Pana Travel processes personal data in order to fulfil a contract entered into with you, or to comply with a legal obligation. If personal data is processed on the basis of consent, this will be requested separately.

Purposes for the processing of personal data

Sapa Pana Travel processes your personal data for the following purposes, amongst others:

  • establishing and maintaining contact with you if you have requested this;
  • drawing up travel proposals;
  • placing a flight on hold or booking flights;
  • to confirm your final booking;
  • carrying out an order/fulfilling a contract;
  • invoicing;
  • improving our services;
  • compliance with legal obligations;
  • sending information about our organisation and products in the form of newsletters or post*.

*Are you not yet a customer of ours? If so, we would like to ask for your consent to process your personal data for the purpose of sending newsletters or other promotional material.

For the purposes set out above, we may ask you for the following personal data:

  • full name (as stated in your passport);
  • contact details;
  • telephone number;
  • email address;
  • date of birth;
  • health and medical information (for any activities during a trip; explicit consent is requested for the processing of this data);
  • a copy of your passport and/or driving licence; - credit card details (for a rental car or any activities);
  • Vehicle registration certificate and other vehicle documents (only applicable when travelling in your own car).

Disclosure to third parties

We may disclose the data you provide to us to third parties if this is necessary for the purposes described above. For example, we use a third party for, amongst other things:

  • checking the availability of your travel proposal;
  • making the final booking;
  • reserving and/or booking flight tickets.

We at Sapa Pana Travel never pass on personal data to third parties with whom we have not entered into a data processing agreement. We naturally make the necessary arrangements with these parties (data processors) to guarantee the security of your personal data. Furthermore, we will not disclose the data you have provided to other parties, unless this is required and permitted by law. An example of this is where the police request (personal) data from us as part of an investigation. In such a case, we are required to cooperate and are therefore obliged to disclose this data. We may also share personal data with third parties if you give us your written consent to do so.

Minors

We only process personal data relating to minors (persons under the age of 18) if written consent has been given by a parent, carer or legal representative.

Retention period

Sapa Pana Travel will not process your personal data for longer than is necessary for the purposes set out in this privacy policy. This means that your personal data will be retained for as long as is necessary to achieve the relevant purposes. In accordance with the statutory retention obligation, Sapa Pana Travel will retain your personal data for seven years after your file has been closed. After those seven years, Sapa Pana Travel may continue to retain your data. To do so, they require your consent.

If you send Sapa Pana Travel a job application, Sapa Pana Travel will retain your details for 4 weeks if no interview or offer of employment follows. Upon request, Sapa Pana Travel may retain your details for one year in case of a future vacancy or other role. You must give your explicit consent for this.

Security

We have implemented appropriate technical and organisational measures to protect your personal data against unlawful processing; we have taken the following measures:

  • Personal data is stored behind security measures comprising at least a username and password;
  • Personal data is stored on computers/servers equipped with security software, with both the security software and the operating system configured to automatically download and install updates;
  • The stored personal data is secured by means of a backup;
  • Our website is secured using HTTPS;
  • All our staff have signed a confidentiality agreement regarding personal data;
  • Only authorised persons have access to personal data.

Your rights regarding your data

You have the right to access, rectify or erase the personal data we hold about you. You may also object to the processing of your personal data (or part thereof) by us or by one of our data processors. You also have the right to request that we transfer the data you have provided to you or directly to another party, if you wish. We may, of course, ask you to provide proof of identity before we comply with the aforementioned requests.

The links to social media on our website are included to enable you to share pages via the social media networks Instagram, LinkedIn, Facebook, YouTube, Vimeo, Spotify and Apple Podcasts. If you click on these links, your personal data will be processed by the relevant social media platform. Complaints

Should you have a complaint regarding the processing of your personal data, please contact us. If we are unable to resolve the matter with you, we naturally regret this. You have the right to lodge a complaint with the Dutch Data Protection Authority, which is the supervisory authority for privacy matters.
